The Institute of Environmental Science and Technology (IEST) invites applications for the position of Marketing and Development Coordinator.

The Marketing and Development Coordinator is responsible for creation and implementation of marketing and communications activities and corporate development through sponsorship/exhibitor sales. This position requires strong written and verbal communications skills, a positive commitment to customer service, attention to detail, and a knowledge of current marketing and sales tactics to support IEST programs and corporate outreach program.

The position is part-time (about 25 hours/week). Salary is commensurate with experience. The IEST headquarters office is located in Schaumburg, Illinois in northwest suburban Chicago. A more complete description of the position, requirements, and expectations is below.

The Marketing and Development Coordinator reports directly to the Executive Director.

Duties and Responsibilities:

Corporate Development-Sponsors/Exhibitors

  • Provides annual budget proposal for corporate development revenue projections and expenses. 
  • Manages plan for and assists with all sponsor and exhibitor outreach and fulfillment to include mailings, emails, calls, thank you notes, ordering of promo collateral, recognition on meeting signage, etc. 
  • Promotes benefits of corporate and event sponsorship to current, previous, and potential sponsors. Works with staff to ensure tracking of scorecards is up-to-date, working with sponsors to obtain required information and track sponsorship fulfilment as needed. 
  • Promotes sales of the ESTECH expo hall to current, previous, and potential exhibitors. Interacts with exhibitors on sales. Works with staff to ensure vendor registrations are complete and exhibitor materials are received, assisting with follow-up as needed. 
  • Oversees the coordination of the ESTECH expo, working with staff to manage exhibit space sales, vendor registrations and materials, exhibit counter and entrance unit signage, and meeting/sponsor signage.

Marketing/Communications

  • Provides annual budget proposal for marketing revenue projections and expenses. 
  • Develops and executes marketing plan for programs; works with staff to track progress/sales to ensure budget is met. 
  • Coordinates and writes all promotional e-mails, press releases, direct mail, and marketing collateral including flyers and brochures; develops new promo copy/items as needed. Ensures marketing materials have a consistent look. 
  • Manages email schedule and works with Membership Coordinator to send emails through marketing email system; provides analysis and tracking reports using AMS and Google Analytics. 
  • Coordinates and oversees the development of the organization’s conference program books, signs, and flyers. 
  • Communicates IEST’s message effectively by enhancing our presence on social media through development of content for IEST Online, the organization’s blog, podcast channel, and social media accounts. Develops and maintains Google Adword campaigns. 
  • Proofreads or assigns proofreading of all marketing collateral. 
  • Serves as content Webmaster for IEST website, suggesting and/or implementing design concepts, content development, web pages, and forms. 
  • Implements market research and targets potential new audiences for membership and customer growth. 
  • Coordinates advertising trades and other promo opportunities with outside organizations to publicize IEST activities. 
  • Creates online banner ads for IEST website and additional ads through trades and sales.
  • Cultivates relationships with media and corporations to increase promotional opportunities; maintains media roster. 
  • Coordinates development of graphic design elements for all marketing and communication materials.

Member Relations/General Office

  • Provides excellent customer service to all who call, email, attend conference/courses or who reach out to IEST. 
  • Works with Membership Coordinator to help develop and implement membership recruitment and retention activities including the Expert Hub, Online Members-Only Context. 
  • Answers phones and performs office duties as needed. 
  • Travels to IEST and liaison conference sessions as required. 
  • Assists at conference registration as required.

Desired Skills and Experience:

  • A professional experienced in marketing/communication campaigns and organizational sales and development. 
  • Able to excel at independent work and closely manage project timelines with minimal oversight. 
  • Exceptional communication skills, both oral and Imagination, creativity, drive, and A successful track record in fulfilling similar tasks, preferably for an association or nonprofit organization. 
  • A positive attitude and strong customer service orientation. 
  • Solid organizational skills and attention to detail. 
  • Strong working knowledge of Microsoft Office. 
  • Basic html and graphic design skills would be desirable. 
  • Experience with association management systems (AMS), content management systems (CMS) and email marketing software. 
  • No impediments to the ability to receive international travel visas, if necessary; to travel via air and participate both internationally and in the US at various meetings, site visits, and conferences.
